The Challenges: Users struggled to organize and navigate their documents; the mental model was unclear. (Library Confusion) No easy way to switch contexts or co-work on shared knowledge. (Limited Collaboration) Goals: Introduce a familiar folder structure in the Library to leverage users’ existing mental models. Improve discoverability of collaboration and library-switching features.
Design Approach & Solution Highlights
Approach & Key Decisions: Conducted 8 user interviews and two rounds of moderated usability studies to surface pain points in the Library. Benchmarked against Google Drive (folder metaphors), Notion (workspace switching), and Airtable (collaboration patterns). Sketched paper wireframes, then moved to Figma for design iterations—testing both light and dark modes with users. Established a component library (colors, typography, icons, UI patterns) to ensure consistency across Library updates. Solution Highlights: Folder Structure & Library Switcher: Added collapsible folders and a “Library” dropdown—users can now organize files hierarchically and switch between workspaces in one click. Collaboration Panel: Introduced a teammates sidebar with presence indicators, comments, and quick-share links. Light & Dark Themes: Delivered polished Figma mocks and CSS variables for both modes; user testing confirmed no readability issues.
Impact & Key Learnings
Impact & Metrics: 5% Library Engagement measured by daily active use of folders vs. prior flat view. Reduced Support Tickets for navigation issues by −30% in the month post-launch. Over 50 UI components consolidated in the new design system, accelerating future feature builds.
